Role objectives

To manage the efficient and timely delivery of all global payrolls within the Gazprom Marketing & Trading group.

To deliver the global payroll strategy, payroll processes and be responsible for the day to day management of the Global Payroll Team (3 FTE), and global payroll provider (ADP). Accountable for the identification and delivery of continuous improvement of payroll delivery within the group. 

Duties & Responsibilities

Team Leadership

  • Manage payroll specialists ensuring tasks are completed accurately and on time
  • Oversee governance of payroll ensuring high accuracy; putting in place controls that will ensure quality of a high standard
  • Build a highly engaged team and instill a culture of professionalism, customer focus and continuous improvement
  • Liaise effectively with Shared Services and where applicable HR team to ensure seamless delivery of payroll

Compliance and governance

  • Ensure consistency and visibility of global payroll process
  • Own identification/mitigation of payroll compliance risks and control issues relating to process design
  • Own the governance of the annual payroll calendars globally
  • Work with HR, Finance and Tax advisors to ensure payroll is fully compliant with regulatory bodies globally
  • Ensure all statutory returns are made to relevant authorities on time, eg HMRC, IRS, etc
  • Ensure that all benefits are compliant with statutory regulations, eg, salary sacrifice
  • Manage relationship with internal audit and ensure delivery of audit requirements
  • Provision of MI reporting
  • Develop back up systems to minimise errors and system and process failures

Process and system improvement

  • Own the design and implementation of end to end payroll process globally
  • Own the monitoring of adherence to policy relating to payroll processing globally
  • Communicate changes to payroll process to the business and to payroll service providers
  • Own the monitoring of payroll service; manage operational relationships with payroll service providers
  • Drive knowledge sharing and the leverage of payroll expertise within the Global Payroll Team
  • Analyze and assess payroll business needs and user requirements to create appropriate functional documentation (End to End Process and Training documentation)
  • Lead on all payroll related projects from initiation through to implementation

Payroll Processing

  • Manage payroll data for core HR processes, eg overtime payments, statutory absence payments, bonus payments, commission, overtime etc
  • Provide oversight and sign off for delivery of monthly payroll services for GM&T globally and GM&TR (including UK, Netherlands, France, Germany, Switzerland and Singapore).  These services include the provision of financial reporting and payments to statutory bodies, along with associated annual activities P60s, P11Ds and earnings statements or local country equivalent
  • Oversee handling of queries from external agencies, eg in country tax authorities
  • Provide Finance dept with monthly summary reports for posting to GL accounts
  • Maintain SLAs & KPIs in line with expected performance and escalate any deviation from agreement
  • Identify changes to payroll rules and manage any associated process changes required
  • Administer the Board of Directors service fees and bonus

Year end activities

  • Ensure year end submission process is followed for all GM&T and GM&TR subsidiaries
  • Undertake annual activities associated with P60s, P11Ds, P14, P35, earnings statements and any local in country equivalents
  • Ensure year end pension reconciliation is completed

Supplier relationships

  • Ensure relationship with ADP is managed effectively
  • Ensure payroll requirements are communicated to suppliers & accurately reflects the business requirements
  • Ensure that the selected supplier(s) and associated contract(s) will satisfy the payroll provision

  • Extensive and demonstrable experience of managing payroll functions at a management/team leader level for large organisations
  • In depth technical understanding of payroll processing (hands-on)
  • Excellent knowledge of UK payroll tax framework and experience preparing and filing the relevant returns
  • Experience in international payroll and tax framework, with experience of preparing and filing the relevant returns (France, Switzerland, Netherlands, Germany,  Singapore, USA desirable)
  • Exposure to broader HR processes (Joiner/Mover/Leaver processes etc)
  • Full understanding of risk profile within a payroll function and experience of implementing a control framework
  • Experience of operating an outsourced payroll function, either fully managed or bureau
  • Detailed functional knowledge of payroll and HR systems
  • Knowledge of ADP Streamline desirable
  • Good project management skills and demonstrates excellent time management and organisational skills
  • Drives process development and continuous improvement
  • Ability to work under pressure and to tight deadlines in a fast paced matrix environment
  • Highly numerate and strong attention to detail
  • Customer focused with strong relationship management skills
  • Experience of managing multiple 3rd party contracts


  • Ideally degree education
  • CIPP preferred
